POP3 is the Post Office Protocol version 3. It works like a post office. The post office is our server. The computers on your network are the letter boxes. When you open your email program, it checks for letters in the post office, downloads them to that individual computer then removes them from the server. This is a fast effective and cheap method of receiving email because emails are stored on the workstations and not the server. The disadvantage of using POP3 is email will be spread out over all computers with in your organization for the respective users resulting in backups and a disaster recovery plan very difficult. If you're a small scale organization with less then 10 users, POP3 may be for you because it's cheap, fast and not so much of a burden to instruct users how to backup their own email.
IMAP4 is the Internet Message Access Protocol version 4. With IMAP all the user's mailboxes (letter boxes) are located at the post office. When new mail comes in, the IMAP Server places it in the appropriate mailbox. The mail never leaves the mailboxes on the server. When a user opens their email client such as Outlook Express, or Microsoft Outlook, the client downloads a list of all the email in their mailbox, not the emails themselves. When the user double clicks on an email message, it will then download and display that email on the client's computer much like loading a webpage. The advantage of IMAP is all the mail is located in one place instead of being scattered around the network on client computers making the backup task easy. Disadvantages include things like storage, because it stores the mailbox for every user in your organization, the storage cost can be expensive. Another disadvantage is connection speed, because all your mailboxes are located remotely on the IMAP server, you need to take into consideration the internet speed at your office and whether or not it is sufficient for all users on your network to access the IMAP server at the same time.
HTTP is the Hypertext Transfer Protocol and can often be used for viewing mail. HTTP mail is much like IMAP because all the email is hosted on the server, and remains on the server. HTTP mail does not require an email client such as Outlook Express, because you access your mail through a webpage. HTTP mail gives users the ability to access their email from any computer in the world, by simply typing in the correct website address and entering their username and password. Because IMAP and HTTP mail store all user's mailboxes on the server, they can be used in conjunction with each other. Users can use IMAP when in the office and HTTP mail outside the office. Hotmail is an example of HTTP mail.
Exchange is a messaging and collaboration of all technologies above plus much more like calendaring, contacts and tasks, and support for the mobile and web-based access to information, as well as supporting data storage. It is part of the Microsoft's line of server products and is widely used by enterprises around the world. Exchange is a very costly solution, but offers superior features none of the other technologies offer. Exchange can be implemented in many ways, thus must be carefully planned in implemented to suit your organization's needs.
